WORK STUDY IS NOT AVAILABLE FOR INTERSESSION/SUMMER
The Work Study Program, designed for students who demonstrate genuine financial need, funds part-time employment on campus. Eligibility is determined by the Student Awards Office. Wages are covered by the university and the Ministry of Training, Colleges and Universities; there is no cost to individual employers unless a student exceeds his/her allocation.
IMPORTANT: To be considered for Work Study participation, students are expected to apply for OSAP assistance in order to ensure that, to the best of our ability, we direct available funds to those students who are most in need. This also enables us to meet the conditions, created by the Ministry of Training, Colleges and Universities, of the Student Access Guarantee . (Out-of-province students are expected to apply for government assistance through their home provinces and provide the Awards Office with a copy of their assessments.)
Students must:
Prior to interviewing a student, request a copy of the Work Study Approval email which students are directed to print and show prospective employers. This confirms the approval, the number of hours allocated to that person, and the final date for working. TIP: If a student is unable to provide this approval, it may be that he/she has not applied for Work Study. If in doubt, call the Student Awards Office;
As soon as a hiring decision is made, download the Confirmation of Hiring Form (link below), complete it with your new employee and forward it to the Student Awards Office by fax at 973-7087 or by intra-campus mail. (We do not recommend giving this form to employees for personal delivery.) Hirings are not official without this contract;
The Student Awards Office will email you to confirm receipt of this form. At that point, instruct your new employee to register with Human Resources (this must be done even if the student has worked on campus previously). A new registration with HR is required each year;
Employers are required to notify all interviewees of the results of their interviews.
Report the student's hours weekly using the Student Casual Wage Form which is available at uwindsor.ca/finance - click on the Payroll link. The appropriate account number is printed on the form. Important: As students rely on the program for a regular, steady income, hours must be submitted in a timely manner;
Final deadlines for reporting any outstanding hours to Payroll:
Hiring, firing and disciplinary action are the responsibility of the employer;
If it becomes necessary to terminate your work study student or the student leaves your employ, is unreliable or does substandard work, please advise the Student Awards Office of the student’s name and provide details in writing (email is sufficient);
TIP: If your student employee will have possession of keys, research data, computer discs, etc., ensure there is a clear understanding of the appropriate use of these items and commitment for the return of same.
