Steps for final submission (deposit)

"Deposit" of a major paper, thesis, or dissertation is the submission after the final oral defense of a digital copy and any required physical copies, binding fees, and forms, as outlined below. 

A student has not completed the requirements leading to a degree until the major paper, thesis or dissertation has been deposited with the Office of Graduate Studies.

Deposit steps

​The following steps lead to the deposit of a major research paper, thesis, or dissertation:

After having defended the major research paper, thesis or dissertation, the student makes any changes required by the committee, and prepares and proof-reads a final, error-free draft of the document observing the format requirements

A single physical copy of the final document prepared according to the format requirements is brought for review to the Office of Graduate Studies (Office #309 Chrysler Hall Tower).

Allow at least 2 business days for format-checking. The deadline for submitting document for format-checking for convocation and tuition refund purposes is posted every term.

  • It is the student's responsibility to ensure that they have allowed sufficient time to complete any required formatting edits. Students may miss tuition refund or convocation deadlines or be required to register for an additional term if the document needs substantial revisions in order to meet the Graduate Studies guidelines.
  • The document is returned to the student along with a list of suggested corrections, or with permission to proceed.
  • If corrections have been requested, the student makes them before submitting the final copy/copies.

    Having now produced a final, error-free, Office of Graduate Studies-approved copy of the document, the student can complete the deposit. At this point the students must have obtained the signatures of all committee members on the "Approval page" and must present this form to the Graduate Studies office at the time of completing the deposit.

    After obtaining format approval, follow these steps to complete the final submission:

    1. upload soft copy in PDF format using the Thesis/Dissertation online submission system

    2. determine how many hard copies are required in your program:

    3. pay online the binding fee ($25 per hard copy)  - binding fee must be paid by credit card online at www.uwindsor.ca/graduate/binding before the hard copies are brought to Graduate Studies for binding. If no physical copies will be submitted for binding no payment is required.

    4. submit to the Graduate Studies office:

    Upon completion of ALL components the deposit will be complete.

    Departmental physical copy exceptions: the following departments do not require a physical copy: 

    • Chemistry&Biochemistry

    • Civil and Environmental Engineering

    • Computer Science: a physical copy for the department is only required for PhD dissertations but is not required for Master's theses.

    • Education

    • Electrical Engineering

    • Human Kinetics: a physical copy for the department is only required for PhD dissertations but is not required for Master's theses.

    • Law

    • Nursing

    • Psychology

    • Sociology, Anthropology and Criminology ​

    Deposit instructions for Master's Major research paper or internship paper

    After obtaining format approval, follow these steps to complete the final submission: 

    1. upload soft copy in PDF format using the Major Papers online submission system 

    2. determine how many hard copies are required in your program:

    • one physical copy is required in all departments except for: Civil and Environmental Engineering, Electrical Engineering, Education, Computer Science.
    • all Engineering students: one additional physical copy is required for each advisor/co-advisor
    • additional optional copies may be submitted to be bound for personal use

    3. pay online the binding fee ($25 per hard copy)  -  binding fee must be paid by credit card online at www.uwindsor.ca/graduate/binding before the hard copies are brought to Graduate Studies for binding. If no physical copies will be submitted for binding no payment is required

    4. submit to the Graduate Studies office:

    • all printed physical copies for which payment has been made online. Copies must be of acceptable print quality
    • the signed Approval page - signed by all committee members.

    Upon completion of ALL components the deposit will be complete.

    Print quality of required physical copies:

    • The print must appear on one side of the paper only and must be produced with a laser printer which produces clear, consistently dense print of professional quality. Any reproduced images and illustrations (figures, charts, graphs) must be clear and sharp.
    • No holes, staples, or other perforation marks are permitted on any of the pages of the final copy.
    • Students must inspect printed physical copies for completeness, photocopier or printer errors, and legibility. It is the student's responsibility to ensure that each physical copy has been inspected and is complete. Examine every page. Mistakes not caught at this stage are costly and cannot be corrected after copies have been bound. 

    Optional physical copies to be bound for personal use:

    If you want to have copies of your thesis bound for personal use there are 2 options:

    1. at the Graduate Studies office: in addition to the required physical copy/copies, when you are completing your deposit you may submit additional printed copies of your thesis. The binding fee ($25 per copy) must be paid online before copies are submitted to Graduate Studies. 
      • Note that the binding fee does NOT cover the cost of printing or photocopying so the student must print and submit however many additional physical copies they wish to have bound.
      • Students must inspect the printed physical copies for completeness, photocopier or printer errors, etc. It is the student's responsibility to ensure that each copy has been inspected and is complete. 
      • Any personal copies ordered must be picked up from the Graduate Studies office after they have been bound. Copies that have not been picked within 6 months of ordering will be sent to the student's Department.
    2. online (Dissertations and theses only): when you are submitting your thesis pdf online you will be offered the option to purchase bound copies of your thesis from UMI/ProQuest. This is an optional service, and if you do not wish to order copies online simply select "Decline - do not order" at the bottom of the form. You can also submit order requests to UMI/ProQuest at a later timeContact the Administrative Officer if you have questions.
