Site Visits

2-day site visits are required for all cyclical program reviews and new program proposals.1
The external review team selected by the Dean of Graduate Studies will meet with faculty, staff, administrative officials, and students. A list of mandatory meetings, as per the QA Framework, can be found below.

Schedule

The AAU under review or proposing a new program is responsible for creating a site visit schedule. Below you will find a sample schedule document that contains a sample schedule as well as things to note when creating a site visit schedule. This schedule needs to be submitted to the Office of Quality Assurance for review at least 2 weeks prior to the site visit date. It will then be provided to the review team by the Office of Quality Assurance.

  • Administrative Officials (Faculty Dean and all others deemed relevant)
  • Student representatives from ALL programs under review
  • Any other parties deemed relevant (community or industrial partners, institutional analysis, finance, recruitment…)

New Program

  • Dean of Graduate Studies
  • Vice-President, Planning and Administration (or designate)
  • Provost (or designate)
  • University Recruitment
  • Faculty Members
  • Staff
  • Administrative Officials (Faculty Dean and all others deemed relevant)
  • Students
  • Any other parties deemed relevant (community or industrial partners, institutional analysis, finance, recruitment…)

External Reviewers' Report

Once the site visit is complete the external review team will have up to 6 weeks to submit a report to the Dean of Graduate Studies and Office of Quality Assurance. This will then be forwared on the the AAU for their response. Below you will find templates of the reviewers' report for both new and cyclical program reviews.

1Quality Assurance Framework mandates site visits for all graduate program proposals. Undergraduate program proposals are normally conducted on site, but the Quality Assurance Framework allows for undergraduate program proposal review to be conducted by desk audit or video conference if the external reviewer is satisfied that the offsite option is sufficient.
