Events are a vital part of campus life at the University of Windsor—advancing our educational mission, building community, and fostering meaningful connections. We support both internal and external organizers in planning and hosting events on campus. ALL events must be requested and approved in advance.

Event Guidelines and Resources
All campus events must adhere to University guidelines and policies relating to safety, accessibility, and proper use of campus spaces.
Key Requirements:
- Submit an official Special Request Form (see “next steps” section for details).
- Submit requests at least 14 days before the event.
- All events must be approved by Campus Safety & Emergency Planning and the appropriate campus office.
- Organizers are responsible for any rental or additional security costs.

Reviews and approvals typically take 10–20 business days, so early submission is recommended. Requests submitted less than 14 days in advance may not be approved due to limited time for review and coordination.

- Involves 50 or more people
- Includes third-party speakers or vendors
- Involves minors
- Takes place outdoors
- Includes alcohol service

- Students
- Internal event hosts (e.g. faculty, department, staff member)
- External
- Physical/psychological safety concerns
- Cash or valuable on site
- Staging, pipe, drape, or curtains
- Electrical equipment or specialized equipment or vehicles
- Hazardous materials (including compressed gas), open flame or fire
- Staff working in isolation or travelling
- Includes spaces not typically used for public assembly (e.g. hallway, atrium, etc.)
